Which vehicle for which trip

• Airport transfers: one or two travelers with light bags ride well in the BMW 7 Series; families and executives with checked luggage take an SUV, six passengers each; groups of up to fourteen with bags take a Sprinter so everyone lands and leaves together. See BNA airport limo service.

Reserving a specific vehicle

1. Tell dispatch the date, the pickup time, the number of passengers, the number of large suitcases and every stop.
2. Name the vehicle you want, or ask dispatch to recommend one for the group and the luggage.
3. You receive a confirmation naming the vehicle and the chauffeur, then a reminder the evening before.
4. Single vehicles such as the stretch limousine and the Sprinters go first on busy Saturdays, so reserve them as soon as your date is set.

How many people actually fit?

The seat count is the number of people who can sit in a vehicle, not the number who can travel in it comfortably with luggage. Most booking mistakes come from that gap.

Three questions that decide it

1. How many people, exactly? A seventh passenger changes the vehicle.
2. How much luggage? Count large suitcases, not bags. Airport runs are usually a luggage question.
3. How long is the ride? Six adults in a Suburban for a short trip is fine; for a long day trip, consider more room.

One big vehicle or two small ones

For eight to twelve people, one Sprinter almost always beats two SUVs: it costs less than two vehicles per hour, the group stays together, and there is one arrival time instead of two. Two vehicles make sense only when the group genuinely splits up during the day, as on some wedding days and corporate roadshows.

Cases where the obvious answer is wrong

• Four people, heavy luggage, airport: looks like a sedan job, but it is an SUV job.
• Sixteen people, formal event: the stretch seats sixteen but carries almost no luggage. It is for the arrival, not the airport.
• Fourteen people in winter: coats take space. Twelve in a Sprinter is comfortable.

Tell dispatch in advance about child seats or a passenger with mobility needs; both affect which vehicle is sent. If you are unsure, give dispatch the passenger count, the luggage and the itinerary and ask which vehicle they would send.
