Planning around Music City Center

Music City Center occupies four city blocks in SoBro, a short walk from Broadway and from most of the large downtown hotels. That location decides the whole transportation plan: inside the convention bubble people walk, and the vehicles are needed at the edges, arrivals, departures and evening events.

Arrivals

BNA to Music City Center is about fifteen minutes outside of rush hour, twenty-five in it. Attendees rarely arrive evenly. A typical conference has a heavy Sunday afternoon and Monday morning, then a trickle. For a group of any size, give dispatch the arrival manifest and we stage vehicles against it: executives and speakers met individually with a name sign at baggage claim, everyone else moved in 14 passenger Sprinters as each wave lands.

During the event

The Omni is attached, and the Hilton, JW Marriott, Westin, Hyatt and the Broadway hotels are a five to fifteen minute walk. Unless the weather is bad or your attendees include people for whom the walk is difficult, do not plan a shuttle between those hotels and the centre. Spend the budget on the off-site evening instead.

The off-site evening

This is where conventions actually need vehicles. A dinner at a distillery, a private room in Germantown, a night at the Opry, a party at a venue across the river: forty people who were walking all day suddenly need to be somewhere fifteen minutes away at a specific hour. A Sprinter running two loops usually beats three SUVs making one trip each, and it handles the people who want to leave early.

Departures

The last morning is the hardest hour of the conference. Everyone checks out inside the same ninety minutes and heads for the same airport. Pre-booked vehicles with staggered times, arranged against the flight list, turn that into a schedule instead of a queue. Aim to have each attendee leaving downtown two and a quarter hours before departure for a domestic flight.

What to send us

The arrival and departure flight list, the hotel or hotels, the off-site event addresses and times, and who needs a dedicated car. You get back a written schedule for each vehicle and a single dispatcher as your contact for the week, so you are not explaining the event to a new person every time you call.

Rates

Airport transfers are quoted flat per vehicle. Evening and multi-stop work is hourly: $95 per hour for the Suburban and Expedition, $125 for the Escalade, Denali, Navigator and BMW 7 Series, and $175 to $195 for Sprinter vans. The 54 passenger charter bus is quoted by call. Nothing surges during a busy convention week; the price is set when you book.

About 15 minutes outside of rush hour and up to 25 during it, roughly eight miles via I-40.

Do convention attendees need a hotel shuttle?

Usually not. The Omni is attached and the other large downtown hotels are a five to fifteen minute walk. Budget the transportation for airport waves and off-site evenings instead.
