Vanderbilt’s campus sits just west of downtown Nashville, between Midtown and Hillsboro Village. It is a compact, walkable campus in a decidedly un-walkable part of the city for visitors, and the weekends when families arrive are the same weekends the hotels sell out. Here is what is worth planning.
The weekends that matter
Move-in in August, family weekend in the autumn, home football Saturdays, and graduation in May. On those dates hotel rooms near campus are booked months ahead, restaurants in Hillsboro Village and Midtown need reservations, and transportation companies are working from a full calendar. Graduation is the tightest of all.
From the airport
BNA to Vanderbilt is about fifteen to twenty minutes outside of rush hour, down I-40 West to Broadway or the Wedgewood exits. Families often arrive on several flights across a day; each one can be met separately, flight tracked, or combined into fewer runs if the arrivals are close. With move-in loads, a Suburban or Expedition takes six people with luggage, and a Sprinter takes fourteen or the contents of a dorm room.
Parking is the real problem
Visitor parking on and around campus is limited and, on a football Saturday or graduation weekend, effectively absent. Hillsboro Village and Midtown street parking fills early. This is why families who bring a rental car usually end up leaving it at the hotel. For the trips that matter, a chauffeur who drops you at the door and collects you later removes the part of the weekend that causes arguments.
Dinner and the rest of the weekend
The good restaurants are spread across Midtown, Hillsboro Village, the Gulch and Germantown, and a family of six does not fit in one rideshare. Hourly service for an evening covers dinner, a drive past the places your student wants to show you, and the ride back, with one vehicle and one chauffeur.
Move-in and graduation loads
For move-in, a Sprinter with the seats configured for cargo carries a dorm room and the family. For graduation, the pattern is usually the reverse: several relatives arriving on different flights, one dinner, and an early departure the next morning. Both are easier booked as a package with dispatch than as separate rides.
Booking windows
Graduation weekend: two to three months ahead. Family weekend and football Saturdays: three to four weeks. Move-in: two weeks. Ordinary visits: a few days. Rates are published, $95 to $125 per hour for SUVs and $175 to $195 for Sprinter vans, with airport transfers quoted flat.
Other campuses
The same logic applies at Belmont and Lipscomb, both a few minutes further south, and at MTSU in Murfreesboro, which is thirty-five minutes from the airport on I-24 and where our dispatch is based.
